Conferences generate a very particular transportation problem: hundreds of people arriving within the same few hours, moving between the same two or three buildings, and leaving together at the end. Handled badly it produces queues at every door.
Arrivals are the pressure point
Delegates land at Pearson across a compressed window on the day before the event. Meeting them individually is expensive and slow; meeting them in groups by flight is far more efficient. We coordinate against the inbound schedule and consolidate arrivals into shared vehicles where the timings allow, which reduces both cost and the number of people standing at arrivals.
Moving between venues
- Scheduled shuttles between hotels and the convention centre on a published loop.
- Dedicated vehicles for keynote speakers and senior guests.
- Evening transport to offsite dinners and hospitality events.
- Departure transfers phased across the final day.
Speakers and VIPs need separate arrangements
A keynote speaker should not be on the general shuttle. They arrive on their own schedule, often tightly, and frequently need to leave immediately afterwards. Dedicated vehicles for speakers are a small proportion of the total cost and they prevent the most visible possible failure.

The Metro Toronto Convention Centre, the Enercare Centre at Exhibition Place and the larger downtown hotels each have their own access and staging arrangements, and a vehicle in the wrong place at a busy event loses fifteen minutes. Our chauffeurs work these venues regularly.
