The reason companies move to a corporate ground transportation account is rarely the vehicles. It is the administration. Individual bookings on personal cards produce a monthly reconciliation problem that somebody has to solve, usually the person with the least time.

Ground transport booked ad hoc is among the most tedious categories in any expense system. Small amounts, many transactions, inconsistent documentation, and frequent queries. Consolidating it into one monthly invoice with line detail removes a recurring administrative cost that rarely appears in the comparison but is real.

Duty of care and compliance

An account gives you an auditable record of who travelled, when and with which licensed operator. For organisations with formal travel risk obligations, that record matters. Commercial insurance, licensing and driver screening are documented rather than assumed, which is not the case when an employee expenses an unknown ride.

Policy that people will actually follow

The most common failure is a policy that is more inconvenient than ignoring it. If booking through the account is slower than opening an app, staff will use the app. We set up authorised bookers, standing arrangements for regular routes and a direct contact, so the compliant route is also the easy one.
